CRM Updates Done by Hand

For a custom fabrication studio - the same configure-quote-build chain a contract manufacturer runs - the deal paperwork is a second production line: quotes, agreements, signatures, CRM updates, project status. Revenue Institute built Production Theory an agent-run pipeline from sales to signature - and the firm's operating efficiency rose 13%.

Context & Challenge

Production Theory is a custom fabrication studio for experiential marketing based in Las Vegas - trade-show exhibits, brand activations, and in-house fabrication for agencies and brands. It is not a contract manufacturer, but its shop floor runs the same configure-quote-build chain contract manufacturers run at higher volume: RFQ-style intake, a custom quote configured and priced for every job, a signed agreement before fabrication gets scheduled, and a project status that lives in someone's head unless it is pushed into the CRM by hand.

In custom fabrication, as in contract manufacturing, there is no price list - every deal is configured, priced, and quoted from scratch, then pushed through an agreement, a signature, and a CRM record before the shop can start cutting. Done by hand, that chain is slow where speed wins deals, error-prone where errors are expensive, and perpetually stale where leadership needs truth. The team's default alternative was hiring project-management and sales-admin headcount to push paper between systems.

Our Solution

One Connected Pipeline

Revenue Institute built the deal pipeline as one connected system with AI agents doing the pushing. Estimates are configured and priced in a purpose-built quoting system instead of a spreadsheet. An accepted quote flows straight into the agreement and out for e-signature - no re-keying, no chasing attachments.

A CRM That Updates Itself

As deals move, agents update HubSpot stages, records, and project status automatically, so the pipeline view leadership looks at is the truth, not last week's memory.

Project Management as Software

The project-management busywork that would have been a hire - status updates, handoffs, record hygiene - runs as software.

The Results

Efficiency Up 13%

Measured across the studio's operations, efficiency rose 13% after the agent-run pipeline went live - the same team moving more work with less friction, without adding administrative headcount.

The Paper Trail Runs Itself

Quote, agreement, signature, CRM record - one flow, no re-keying. The admin chain that used to sit between "client said yes" and "shop starts building" is software.

A CRM That Tells the Truth

HubSpot stages and records update as the work moves, not when someone finds time. Pipeline reviews read live status instead of chasing it.

The Hire That Didn't Happen

Quote admin, record updates, status chasing - precisely the kind of role growing shops post by default, at a loaded cost of $85K to $120K a year. At Production Theory that work runs as agents, and the payroll line never appeared.

Key Results Achieved

  • 13% Efficiency Gain

  • A CRM That Tells the Truth
